Position Description
The HR Coordinator supports the Human Resources department by managing employee records, coordinating HR operations, and assisting with PRO-related administrative work. This position ensures a smooth employee experience from onboarding to exit and maintains compliance with institutional, local, and legal requirements.
POSITION DUTIES AND RESPONSIBILITIES
HR Operations & Employee Support
- Maintain accurate and up-to-date employee records in both digital and physical formats
- Support onboarding and offboarding processes, including document collection, induction scheduling, and exit clearance
- Prepare employment letters, verification requests, and other HR documentation
- Coordinate with department heads to ensure employee data is current and compliant
PRO & Legal Compliance Support
- Assist with visa, work permit, and FRRO registration processes for expatriate employees and dependents. Visit the office as per requirement and complete the paperworks and approvals.
- Coordinate with external agencies for Aadhar registration, PAN card applications, and related documentation
- Support Provident Fund (PF), Employee Insurance, and other statutory benefits administration
- Maintain compliance files related to labor laws, employee records, and institutional audits
- Track visa expiries, renewals, and maintain accurate immigration records
Payroll & Benefits Administration
- Support payroll inputs by maintaining attendance, leave, and overtime records
- Assist in verifying salary-related documents and coordinating benefits enrollments
- Liaise with finance to reconcile HR and payroll data for timely disbursements
Recruitment & Onboarding Support
- Coordinate candidate communication, interview scheduling, and recruitment logistics
- Prepare onboarding plans and support orientation sessions
- Maintain recruitment databases and ensure timely completion of background checks
Employee Engagement & Communication
- Assist in organizing HR-led events, staffrecognition programs, and wellbeing initiatives
- Support internal communication related to HR policies, updates, and notices
- Promote a positive work culture aligned with AISC values of belonging and wellbeing
Administrative & Reporting Support
- Generate HR reports and maintain HR metrics dashboards
- Support policy implementation and update HR manuals as directed by the HR Director
- Handle confidential information with discretion and professionalism
PROFESSIONAL RESPONSIBILITIES
- Maintain confidentiality, integrity, and ethical standards in all HR-related matters
- Demonstrate initiative in streamlining HR and administrative processes
- Participate in professional learning and stay current with HR best practices and regulations
- Perform other duties as assigned by the HR Director
PREFERRED QUALIFICATIONS AND EXPERIENCE
- Demonstrated lifelong learner
- Bachelor’s degree in Human Resources, Business Administration, or related field
- Minimum 3 years of experience in HR coordination or administration, preferably in an internationalorganization or educational institution
- Experience with PRO work including visa processing, FRRO, and statutory compliance preferred
- Experience in Zoho People is a plus
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Strong interpersonal and communication skills
- Knowledge of labor laws, statutory compliance, and HR documentation
- Familiarity with visa and FRRO procedures, Aadhar, PF, and related government systems
- Proficiency in MS Excel, Google Workspace, and HRIS systems
- High attention to detail and strong organizational skills
- Ability to work effectively with a multicultural community
