Position Overview
The Strategic Advancement Assistant provides comprehensive executive and administrative support to the Director of School Strategy, Director of Advancement, and Community Life Manager. This role combines executive-level organization and time management with event coordination and problem-solving expertise to ensure smooth operations across the Strategic Advancement Department.
The assistant serves as a key operational coordinator, managing schedules, communications, and administrative functions that enable senior staffto focus on strategic initiatives. This role directly impacts departmental efficiency, communication effectiveness, and operational excellence.
Essential Qualifications
Education & Experience
- Bachelor's degree preferred or equivalent combination of education and experience
- Minimum 3 years of executive assistant or administrative support experience
- Experience in educational institutions or international organizations preferred
- Demonstrated proficiency in office management and executive support
- Demonstrated proficiency in event planning

- Executive Support: Advanced skills in calendar management, travel coordination, and executive communications
- Technology Proficiency: Expert-level skills in Google Workspace
- Communication Skills: Exceptional written and verbal communication with cultural sensitivity.
- Discretion: Ability to handle confidential information with utmost professionalism
- Problem-Solving: Strong analytical skills with ability to anticipate needs and resolve issues proactively
Key Responsibilities
Executive Support:
- Provide administrative support to the Director of School Strategy, Director of Advancement, and Community Life Manager.
- Coordinate calendars, meetings, and travel arrangements
- Manage correspondence and communication flows
- Prepare materials for meetings and presentations
- Handle confidential information with discretion
Multi-Department Coordination:
- Assist Community Life Manager with event planning and logistics
- Provide administrative and logistical support for students and partners during CareerX and other experiential programs during school breaks or after-hours as needed.
- Assist with community engagement efforts by maintaining contact lists, managing communications, and supporting activities
- Support Director of Advancement with Alumni relations
- Manage shared resources and scheduling conflicts
Administrative Excellence:
- Maintain filing systems and document organization
- Track event budgets, process payments, and maintain accurate financial and administrative records for the SAT departments.
- Process expense reports and administrative paperwork
- Coordinate vendor relationships and service providers
- Manage office supplies and resource allocation
- Provide technology support and problem-solving assistance
Key Deliverables
- Event logistics and coordination support with internal and external stakeholders
- Executive calendar and meeting coordination
- Administrative process documentation and improvement
- Office management and efficiency initiatives
Reporting Structure
- Primary support and report to Community Engagement Manager and Director of School Strategy
- Support to Community Life Manager on community engagement initiatives.
- Support Director of Advancement on alumni relations.
- Coordinates with all advancement team members as needed
